Introduction to the Cool Content 2257 Records Keeping
System
The Cool Content 2257 Records Keeping System (CC2257RKS) is designed to help our customers maintain the
documents pursuant to 18 U.S.C. § 2257 and C.F.R. 75 . The objective of the CC2257RKS is to facilitate
data input with a minimum amount of work by our customers.
The CC2257RKS is offered to you as a free records management system. It is not legal advice. Everyone
that uses this system must first evaluate the system to insure that it meets their legal responsibilities.
The CC2257RKS is simply a tool to facilitate data input into a pre-formated Excel spread sheet.
If you have questions, please consult your lawyer.
System Requirements
The CC2257RKS requires a Microsoft Operating System and a working copy of Excel to be installed.
The CC2257RKS can be installed anywhere you like... but
the 2257.exe file and 2257.xls file must be located in
the same folder (subdirectory).
How It Works
The CC2257RKS consists of two parts - The input screen template and an Excel spreadsheet to maintain
the information you input. In addition, the input screen has a built in image viewer that allows
you to read information from the Photo IDs and Model Releases.
We don't want to get into the mechanics of Excel. Suffice it to say, all the information in the
Excel spread sheet can latter be used to index, filter, search, rearrange, etc. in a variety of ways
that meet the requirements of the regulaton.
Getting Started
Download and install the CC2257RKS to a hard drive.
The Department of Justrice (DOJ) says that you have to keep your records seperate from all
other records.
For this reason, we would suggest the following:
Maintain the working CC2257RKS on your hard drive. Then make a security backup of your CC2257RKS on an
external hard drive or CD. The program is pretty small and CD backups might be best in the short term.
You may also want to have different versions of the system over time. In that case, you can name your CD or
hard drive folders by date to help you quickly identify the records.
Quick Instructions - Just the Basics
1. Download and install the program.
2. Open the program by double clicking on the CC2257RKS icon on your desk top.
3. Click the "Start Embedded Image View" on the input template.
4. Use the image viewer to find the model photo ID for your photo set.
5. Open the photo ID picture and get the model Last Name, First Name, and Date of Birth.
6. Mouse click the input template.
7. Enter the model Last Name, First Name and Date of birth.
8. Click the image viewer and find the model release to get the production date.
9. Mouse click the input template.
10. Enter the Production date.
11. Continue to fill out the remainder of the template.
12. Press the "Add New Record Set" - The program has a confirmation.
13. Press "Yes I am sure" to add the record... or press "No - Go Back" to not save the record.
Once a record has been added to the Excel spread sheet, you can use Excel to view the raw record.
Be sure to close Excel before you try to use the CC2257RKS
For your convienence, there are simple instructions on the template in the pull down menus.
Some Tips from Power Users
Many suggestions from Power Users of the beta version were automated within the official version 1.0.
Unfortunately, there is still the matter of getting the information into the Excel table from the
photographic records. Here are a few tips that will assist you in using the system to it's
maximum capacity.
1. Content and Document Organization
One thing that will help you enter data faster is to have your content arranged in a logical fashion so
that you can quickly located the content, documents, and data quickly.
Here is an example for Cool Content material organization:
Make a folder called "Cool Content" on your hard drive
Put all your sets and videos in the Cool Content folder.
Make sure that each set / video folder has a folder for the content and another for the documents
Using this system, the path to the documents is \Cool Content\Set Number\Documents
while the path to the content is \Cool Content\Set Number\Pictures
2. Hate Working between the Input Screen and Image Viewer
Instruction points 4 - 10 involved getting the information from the photographic ID and Model Releases
and entering that information onto the input template. If you are like me, many names are foreign,
there are a variety of spelling issues, dates, etc. This results in numerous clicks between the
photographic image with the raw data and the input template.
One solution is to create a small 5 column table that fills a page - enough for about 23 records if the cells are
double spaced so that you can easily write in the table cell.
Then write the following data on your paper form:
Open the image viewer to locate the photo ID
1. Write the model's Last Name on the paper form
2. Write the model's First name on the paper form
3. Write the Model's Date of Birth on the paper form
4. Write the type of document it is - such as a CZ passport, FL Drivers License, etc.
Then locate the Model Release
5. Write the production date on the paper form
Then click the input template and fill in the template with the information and save the record.
3. Screen Resolution and Screen Placement
The CC2257RKS was designed and optimized for a 1024 screen size. When you use the program, the input
template is located in the center of the screen. Once you open the image viewer, you can move the
location of the image viewer. If you move the image viewer to the top left hand corner of the screen
you will be able to read the document file names for the set number, photo ID and Model Release from the image
viewer directory listing.
